How do I log in?
Visit https://meritageleadership.com/ai-susan/login/

Forgot your password? Click the orange “Lost Your Password?” button above Login. You’ll get an email to create a new one.

First-time users: Check your inbox for an email with the subject [Welcome to AI Susan] (look in Spam/Junk if you don’t see it). That email contains everything you need to know to login and get started.

Which devices and browsers work best?
AI Susan is built to work on most computers, tablets, and phones.

For the best experience, we recommend you use the latest version of Chrome or Safari.

On mobile, text chat works seamlessly.

Audio will also work, though quality may depend on your phone. 

How do I use my microphone?
When you start an AI Susan Voice call, your browser may ask if the website can use your microphone.

Click Allow (or OK) so the system can connect.

If you don’t see the pop-up:

  1. Check the top of your browser window for a small microphone icon near the web address.
  2. Click the icon and select Allow access.
  3. Refresh the page and try again.

Tip: If your microphone still is not working, close other apps such as Zoom or Teams, since they may already be using your microphone. Remember, your microphone only turn on when you give permission.

Is there an AI Susan mobile app? (How to add to your home screen)

For the best experience (especially when using the voice coaching feature), we recommend adding AI Susan to your phone’s home screen. This allows you to launch the tool instantly, just like a mobile app.

iPhone (Safari):

  1. Open Safari and go to: https://meritageleadership.com/ai-susan/chat/
  2. Tap the Share icon ((square with an upward arrow). Depending on your settings, this is at the bottom center of your screen or right next to the address bar.
  3. Scroll down and tap Add to Home Screen, then tap Add.

Android or iPhone (Chrome):

  1. Open Chrome and go to the link above.
  2. Tap the Share icon (iPhone) or the three-dot menu (Android).
  3. Select Add to Home Screen, then tap Add.

What can I use AI Susan for?
Think of AI Susan as your on-demand leadership coach, ready to help in the everyday moments that matter most.

Here are a few ways she can support you:

  • Drafting feedback or follow-up emails
  • Getting ready for a tough conversation
  • Turning meeting notes into clear action steps
  • Practicing delegation or working through conflict
  • Rehearsing how to “manage up” with your boss

She is here to make your leadership challenges a little easier, one situation at a time.

What interaction modes are available?
AI Susan works in two ways, depending on what you need in the moment: 

  • Chat: Perfect for quick help. Get sample scripts, answers, or checklists you can use right away.
  • Voice: Great when you want to talk things out, hands-free, like a coaching call on the go.

Tip: Use Chat when you need to write something. Switch to Voice when you want to practice how you show up in real time.

Can I upload documents or attachments?
Yes! You can upload documents by clicking the paperclip icon in the AI Susan Chat interface.

For best results, upload text-based PDFs, Word docs, or plain text. (Avoid image-only scans or screenshots as AI Susan can’t read text inside images.)

Users cannot upload document or attachments in the AI Susan Voice interface at this time.

Will AI Susan remember my past conversations?
Yes. After you confirm your email, your conversations are saved in your account so you can pick up right where you left off.

Want to start fresh?

Just type or say “New topic” and AI Susan will set aside the earlier conversation and focus only on what you share next.

How do I ask questions for best results?
AI Susan works best when you give her three things:

  • The situation you are dealing with
  • Your goal for the conversation or task
  • Any constraints (like word count, tone, or format)

 

Example:

A designer missed two deadlines. I want to reset expectations without losing trust. Draft a 5-sentence follow-up email and a 30-day checkpoint plan.

The clearer you are, the more practical and tailored Susan’s answer will be.

Privacy & Data

Are sessions recorded?
Audio/Voice calls: The audio/voice portion is private and not retained. Once the call ends, it’s gone, but a text transcript remains, so you can come back to review notes, action steps, or drafts later.

Chat sessions: The text of your chats is saved to your account for your private use.

This way, you always have a record of what you worked on in chat, while your real-time voice practice stays just between you and AI Susan.

Who can see my transcripts?
Your transcripts are private — only you can see the details of your conversations with AI Susan.

Your company may receive broad, anonymous insights (for example, “many people are asking about delegation”), but they cannot view individual transcripts.

A small number of system administrators have limited access for troubleshooting and support, but they do not review your conversations.

Your personal coaching discussions stay confidential.

Is my data used to train other customers’ avatars?
No. Your conversations are private to you and your company. They are not shared outside your organization and are never used to train other customers’ avatars.

Your data stays secure and is only used to support your own coaching experience.

Can I delete my transcripts?
Yes. Go to Chat History, click the three dots (…) next to a conversation, and select Archive.

This will permanently delete the conversation from the Chat History.

Boundaries & Safety

Does AI Susan replace HR, legal, or therapy?
No. She’s your leadership coach—not HR, legal, or a therapist.

AI Susan is a developmental tool designed to support and reinforce your learning from Meritage Leadership’s workshops, coaching, and training programs. The platform is powered by Meritage Leadership’s proprietary coaching frameworks and content. AI Susan is a general informational and development tool only. While AI Susan may provide tailored outputs based on your inputs, the outputs are machine-generated and should not be considered professional, legal, or HR advice.

If sensitive topics come up:

  • Work policy issues → She’ll guide you to HR.
  • Legal, medical, or trauma → She’ll direct you to licensed professionals.
  • Crisis/self-harm risk → Please call or text 988 (US) or visit 988lifeline.org.

AI Susan will pause coaching on these topics.

Quick Tips for Busy Leaders

I just want a quick meeting recap. What should I ask?
You can be direct. For example:

“Summarize the key takeaways and next steps from this meeting transcript.”
“Give me a simple checklist to confirm after a team check-in.”

 

Can AI Susan adapt advice to different working styles?
Yes. If you know someone’s Enneagram type or communication style, just mention it.

Example: “Write this email for someone who prefers direct, data-first communication.”

Can I get shorter answers?
Absolutely. Add a constraint to your request, such as:

“Keep it under 100 words.”
“Give me 5 bullet points.”

The more you guide her on format or style, the more useful and tailored her response will be.

Troubleshooting

I can’t hear / they can’t hear me.
If your microphone or speakers aren’t working:

  1. Check your browser or computer settings to make sure your mic and speakers are turned on.
  2. Close other apps like Zoom or Teams that may already be using your microphone.
  3. Refresh the page and try again.
I can’t find my transcript.
Go to Chat History in the top-left of the chat page. You’ll see all past text + transcripts of audio calls.
AI Susan is stuck on an old topic.
Say: “Hey AI Susan. This is a new topic, please ignore earlier context.”

How do I report a problem or give feedback?
Use the Feedback & Support option in the app (top-left menu). We normally respond within 1 business day.
Can I suggest new prompts or templates?
Yes!

Open the Feedback & Support tool from the left-hand sidebar, then select Feature request/Content to share your idea.
